Sprout Pod — Legal
Privacy policy.
What we collect, why we collect it, who we share it with and what you can ask us to do about it.
Last updated 16 September 2026
Who we are
This policy applies to sproutpod.ie and to the subdomains linked to it, including the room builder at quote.sproutpod.ie. Sprout Pod is a trading name of Jenker Trading Limited, a company registered in Ireland, trading from Edentober, Ravensdale, Dundalk, Co. Louth, A91 HF98. That company is the controller responsible for the personal information described here and decides how and why it is used.
Sprout Pod designs, manufactures and installs garden rooms, home offices and modular garden homes across Ireland and Northern Ireland. Where manufacturing or installation is carried out by an associated company or contractor on our behalf, that company processes your information on our instructions and for the same purposes.
“Personal information” means information that could identify you, directly or together with other information we hold. That includes your name, email address, phone number, postal address or eircode, and information about how you used this website.
For anything in this policy, or to exercise any of your rights, contact us at info@sproutpod.ie.
Our employees, contractors and consultants are covered by a separate internal privacy notice, not by this policy.

Information we collect automatically
- Your IP address and general technical information about your browser and device, from the server logs kept by our hosting provider.
- A limited record of form submissions, held to stop automated abuse. The email addresses and IP addresses used for this are stored as one-way hashes, not in a readable form.
- Cookies and similar technologies, described in full in our cookie policy.
Information from other people
If you are referred to us through the referral club, the customer who referred you will have told us your name and contact details, with your agreement. We also receive the Google reviews shown on this site directly from Google, exactly as you published them.
We do not ask for special category information such as health or religious data, and you should not send it to us. We do not knowingly collect information from children.
How we use your information, and our lawful basis
Data protection law requires us to have a lawful basis for each use of your information. Ours are set out below.
| What we do | Lawful basis |
|---|---|
| Answer your enquiry, prepare a quote, and take an order through to installation | Performance of a contract with you, or steps taken at your request before entering one |
| Arrange a viewing of another customer’s garden room, and pass the contact details each of you needs | Your consent, given separately by each of you and recorded with the exact wording and date |
| Run the referral club and pay rewards | Performance of our agreement with you as a member of the club |
| Keep records of sales, payments and rewards | Compliance with our legal obligations, including tax and company law |
| Keep the website secure, prevent abuse of our forms, and investigate misuse | Our legitimate interest in protecting the site and the people who use it |
| Understand which pages and products draw interest, in aggregate | Our legitimate interest in improving what we offer |
| Send you marketing about our garden rooms by email, text or messaging app | Your consent, which you can withdraw at any time |
Where we rely on legitimate interests, we have considered whether our interest is outweighed by your rights and freedoms, and we only proceed where it is not. You can ask us for our reasoning at any time.
You can opt out of marketing whenever you like by using the unsubscribe link in any message or by emailing info@sproutpod.ie. Opting out of marketing does not stop the messages we have to send you about a project already under way.
We do not sell your personal information, and we do not make decisions about you by automated means alone.
Viewing a garden room near you
Our viewing network lets you see a real Sprout Pod at a customer’s home before you buy. Because that involves two private individuals exchanging contact details, it deserves to be spelled out.
If you ask to view a room
- You choose a room on the map and give us your name, email address and phone number, and you tick a box agreeing that we may pass those details to the homeowner who hosts that room. We record the wording you agreed to and the time you agreed to it.
- We contact the homeowner and ask whether they are willing to host a viewing. We do not give them your details at this point.
- If they accept, we send you their eircode and phone number so you can arrange the visit directly, and we give them your name and contact details. If they decline, nothing is shared and we look for an alternative.
- From that point the arrangement is between the two of you. Sprout Pod does not attend and is not a party to it.
If you host a room
- Only your first name, your town, your county, and the size, cladding and photograph of your room appear publicly on the map. Your surname, full address, eircode, email address and phone number are never published, and the photographs are stored under numbered filenames so that no one can identify you from an image address.
- Your eircode and phone number are given to a prospective customer only after you have separately agreed to that disclosure, and only for a viewing you have accepted.
- You can pause requests, set periods when you are unavailable, or leave the network entirely, at any time and without giving a reason.
We keep an audit record of every step in this process, including what was sent and when, so that we can show what was disclosed and on what basis. Either of you can ask us for that record.
The referral club
If you join the referral club we hold your membership details and the bank details you give us so we can pay your rewards. Bank details are used for that purpose only and are held no longer than our accounting and tax obligations require.
The terms of the club, including how rewards are calculated and paid, are in clause 12 of our terms and conditions.
Where your information is stored
Our website, its database and our customer records are held within the European Economic Area. Some of the services listed above are operated by companies based in the United States and may transfer information there.
Where information leaves the EEA, we rely on the European Commission’s adequacy decisions where they apply, and otherwise on the Commission’s standard contractual clauses together with additional safeguards. You can ask us for details of the safeguards that apply to a particular transfer.
How long we keep it
We keep personal information only for as long as we need it, and no longer.
| What | How long |
|---|---|
| Enquiries that do not become orders | Two years from our last contact with you |
| Customer and order records | Seven years from the end of the tax year in which the order completed, to meet tax and company law requirements |
| Viewing requests and the consent recorded with them | Two years from the request, so that we can show what was disclosed and on what basis |
| Referral club membership and payment records | Seven years, for the same accounting reasons |
| Marketing consents and opt-outs | Until you withdraw consent, and then a minimal record of the opt-out so that we continue to honour it |
| Website and security logs | Twelve months |
| Staff portal accounts and sessions | While the account is active, then deleted. Sessions expire automatically |
At the end of these periods we delete the information or remove anything that identifies you, so that what remains cannot be traced back to you. We may keep information longer where the law requires it, or where it is needed for a legal claim that is under way.
How we protect it
- Everything you send to this site travels over an encrypted connection, and the site is served only over HTTPS.
- Our database is encrypted, access to it is restricted, and passwords for our staff portal are stored as one-way hashes rather than as passwords.
- Access to customer records is limited to the people who need it for their work, and actions taken in our staff portal are logged.
- The links we send by message to confirm or decline a viewing can be used once and expire.
No transmission over the internet can be guaranteed completely secure. If a breach of your personal information is likely to result in a high risk to your rights, we will tell you as well as the Data Protection Commission.
If you send us photographs, please be aware that image files can carry the location where they were taken. Remove that data first if you would rather not share it.
Your rights
Under the General Data Protection Regulation and the Data Protection Act 2018 you have the following rights. They do not all apply in every situation, and we will explain our reasoning if one does not.
- To be told how your information is used. That is what this policy is for.
- To get a copy of the information we hold about you.
- To have it corrected if it is wrong, or completed if it is missing something.
- To have it erased where we no longer have a reason to keep it.
- To restrict what we do with it while a question about it is resolved.
- To object to us using it where we rely on legitimate interests, and to object to direct marketing at any time, which we will always honour.
- To withdraw consent at any time where our use of it relies on your consent. That does not affect anything done before you withdrew it.
- To receive it in a portable form, or have us send it to another provider, where that is technically possible.
- Not to be subject to a decision made solely by automated means that has a legal or similarly significant effect. We do not make such decisions.
To exercise any of these, email info@sproutpod.ie. We will ask you to confirm your identity so that we do not disclose your information to someone else, and we will respond within one month. If your request is complex we may extend that by a further two months and will tell you if so. There is no charge unless a request is manifestly unfounded or excessive.
If you are unhappy with how we have handled your information you can complain to the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, or at dataprotection.ie. We would ask you to raise it with us first so we have the chance to put it right.
Changes to this policy
We review this policy from time to time and publish any update on this page with a new date at the top. If a change materially affects how we use information we already hold about you, we will tell you directly.
